BY PAYING YOUR DEPOSIT YOU ACKNOWLEDGE & AGREE TO ALL OUR TERMS & CONDITIONS, CHILD POLICY OUR CANCELLATION POLICY AND THE APPLICABLE COVID 19 PROTOCOLS
The Health & Safety regulations as specified must ALWAYS be adhered to (masks, social distance, etc)
PAYMENT TERMS:
-We require A 50% NON refundable deposit payment to secure the booking.
-Bookings will be confirmed within 48 hours AFTER the payment reflect in our account.
-It remain the responsibility of the guest to confirm that we have received the POP
-Please advise us if the confirmation letter is not received after 48 hours, we will gladly resend it.
-The FULL outstanding balance including any extra's requested is payable on or before arrival.
-Balance payments, extras or any other payments made prior to or on arrival are non refundable.
-Account settlements via EFT must reflect in our account before 14H00 on the day of arrival.
-We accept the following payment options:
Master & Visa card payments (We do not accept Dines club or American Express card payments)
EFT payments, Agent vouchers, virtual card and cash payments.
-Please note that guests will unfortunately not have access the room(s) reserved unless paid in full
REGISTRATION AND CHECK IN:
-We regret that guests will unfortunately not have access to the room(s) reserved unless the FULL
-The completion of documentation prior to check in is compulsory
-In the event that you arrive at the establishment with more guests than the room is reserved for as per
your confirmation letter , access to the room will be denied and your reservation will be cancelled
immediately without any refund.
FINAL ACCOUNTS:
-Any outstanding account must please settled before 09H00 on the day of depature.
MARKETING:
-The images on our website and adverting material e.g. champagne / petals etc. is for illustration
purposes only and not included in the standard rates.
PACKAGE OPTIONS :
-Package options, special deals & promotions are only available for reservations directly with the
establishment. Please contact us for information.
ADDITIONAL EXTRA’S : (available at an additional charge)
Any of the following can be added to your reservation subject to prior arrangement .
-Romantic setup with champagne and rose petals
-Petals & chocolate dipped strawberries (Seasonal)
-Dinner: 3 course (by arrangement and pre menu selection only)
-Birthday / Anniversary Celebration (champagne & petals, chocolates, cake for 2 & 5 helium balloons).
-Corkage fee
-Late departure per hour (by prior arrangement and subject to availability of the room)
-Spa Treatments: by appointment only. Full pre- payment required to secure a booking
FOOD & BEVERAGE
-Galagos Lodge Guest House is not a self-catering establishment.
-Dinner options are available by prior arrangement.
-Braai / Barbeque options are not available on the premises.
There are day visitor options within close proximity to the guest house.
-Guests are not allowed to bring any food onto the premises - no cooking facilities in the rooms. -Snacks welcome.
-Guests are not allowed to bring their own beverages onto the premises without prior arrangement
-Corkage fees will apply to all guests arriving with their own alcohol and cooler boxes.
- Guests are not allowed to bring their own beverages to the dining room for dinner reservations.
ROOM INFORMATION & OCCUPANCY :
-The rooms accommodate a maximum of 2 Adults or as specified on your confirmation letter.
-Please contact us for our child policy and rates. We can accommodate younger children in certain
Luxury rooms with either an additional single bed or sleeper couch.
-On request and subject to availability, there may be an option to accommodate a 3rd adult in a Luxury
room with an additional single bed.
-The full rate as quoted per guest per room will be applicable to the 3rd guest.
-Should it come to our attention at anytime of your stay that there are more guests in the room or on the
premises then booked for (with any connection to you) your booking will be cancelled immediately
without a refund and you will be asked to vacate the room immediately. (This includes adults, teenagers & younger children as well as but not limited to friends, family or business associates)
FRIENDS, FAMILY & DAY VISITIORS :
-Until further notice Day Visitors including friends & family of guests, we accommodate is unfortunately
not able to visit the guest house.
-This is due to the floor space of the establishment and the total guests including staff allowed on the
premises under the current regulations
BREAKAGE, DAMAGES & GUEST LIABILITY:
-Guests will be responsible for any breakage or damage to the room occupied or any other part of the
property & building caused by the guest, his/her partner or any other family member, friend or any other
person part of the reservation or individuals arriving as your guests (which violate your booking terms)
-ANY items are removed from the room during your stay or on departure, deliberately or accidental we
ask that these items must be returned within 48 hours (blankets, remotes, linen, pillows, towels, bath
ropes, hairdryer etc.).
-It is our intention to make stay with us as comfortable as possible, please do not remove items from our
rooms. Removing items which is the property of Galagos Lodge from a room or public area is theft and
can unfortunately not be justified as memorabilia for your weekend away ! If the items are not returned,
we will unfortunately have no alternative other than proceeding with legal action of which you will be
liable for all costs.
GUEST BEHAVIOUR:
-Please be respectful towards our staff & management & other guests we accommodate during your stay
-Please respect one another with regards to cleanliness & hygiene of the public areas, noise levels and
general behavior.
-Guests will be held responsible for any breakages or damages to the room occupied or any other part of
guest house caused by negligence, domestic violence, alcohol abuse etc.
-Any guest who behaves in a disorderly manner due to the abuse of alcohol, any other substance abuse
OR Domestic violence will be asked to leave the premises immediately without any refund on
accommodation, extra's booked, spa or activity payments received.
-The remainder of your accommodation, any other activities booked (dinner, spa, cruises, etc.) will be
forfeited after your departure without any refunds or vouchers for future use.
-Discrimination and racism or any violent behavior will not be tolerated against our staff, management,
or any other guest or between individuals. Guests or visitors who violate this booking term will be
asked to leave the premises immediately and the deposit and balance including any other payments
made will be forfeited.
-In the event that we receive any complaints from other guests regarding your behavior, we will address
the matter with you. Any further complaints or non compliance will result in the termination of your
reservation without a refund.
INTERRUPTION OF SERVICES:
It is our intention to make you stay with us as comfortable as possible. Unfortunately there may be times that we experience the unforeseen interruption of services beyond our control and unfortunately this may happen during your stay. • Should a problem arise, we will endure every effort from our side to have the problem resolved. In the event that the interruption is beyond our control, due to an act of nature, electrical storm or maintenance or repairs that is required by a specific service provider, the repair / restore of service time will be determined by the service provider and therefore beyond our control. • Galagos Lodge shall therefore not be held liable for any unforeseen interruption of services during your stay. This includes electricity, water & sanitary services, DSTV & WIFI. • No refunds will be calculated in any of the above events. • Should the problem however not be repaired within a reasonable time (at the discretion of management) a complimentary Voucher will be issued for a future stay.
GENERAL INFORMATION
SMOKING:
-SMOKING, (including the use of “Hubble’s”) is not permitted inside the room(s) or in the main house.
-Designated smoking areas where ashtrays are available.
-The Smoking of Dagga (or any other substance) in Public areas is strictly prohibited as per
South African Law. The smoking of Dagga on our premises or in any of our rooms is therefore
prohibited.
- Should it come to our attention that you have smoked in the room at any point during your stay, a fine &
cleaning fee of R1 500 will be charged and payable immediately and your reservation will be cancelled
without any refunds
. -Damages to our rooms due to the smoking of a hubbly or cigarette burns will be for the guest account.
POOL REGULALATIONS:
-The pool is available to all our guests and the use of the pool is AT OWN RISK
-Please do not use bathroom towels at the pool or on the deck, swim towels are available on request.
-Guests are welcome to bring their own swim towels with.
-Please respect all the guests we accommodate at the time of your reservation, we respectfully request
that you will adhere and be mindful to the following:
*Please wear appropriate swimwear
*Please keep the pool area clean
*No glass bottles or glasses are allowed in or around the pool
*Please be mindful of noise levels and be respectful to guests accommodated within close proximity to
the pool
*Under NO CIRCUMSTANCES are children allowed near or in the pool without adult supervision and
attendance.
PLEASE BE ADVISED THAT, under the current regulations, a public jacuzzi is not available to guests.
-Jet baths area available for the private use of guests during their stay in specific suites.
MUSIC:
-Loud music is not allowed on the premises. This includes music from rooms, cars, portable speakers,
phones etc.
-Any fines issued by the KRRA within the village of Kosmos will be for the guest account.
PET POLICY:
-Pets are unfortunately not allowed on the premises.
- We will gladly advise on “pet lodges” in the area that will gladly assist with taking care of your pets.
LOST AND FOUND:
-Items found in your room or on the premises by our staff will be kept for a period of 30 days.
-Guests are responsible to either collect or arrange with a courier to collect these items within 30 days.
-Unclaimed items are donated to the less fortunate after 30 days.
PARKING:
-Parking is at own risk.
-As a safety precaution please remove all valuable items from your vehicle ensure and that your car is
locked.
-Galagos Lodge, our staff & management will not be liable for any loss or damage to your vehicle for the duration of your stay.
SPA RESERVATIONS:
-Spa reservations are subject to availability and by appointment only.
-Full pre -payment will be required to secure a spa reservation. Payments are non- refundable.
-Please take note of the spa terms & conditions you will receive on confirmation of the booking.
*Galagos Lodge reserve the right to amend our rates, protocols & terms and conditions as we may deem
necessary without prior notice.
*Galagos Lodge does not accept any responsibility for any loss, damage to personal belongings or harm
to any person during the period of your stay at the Lodge.
*The premises is entered at Own Risk.
*Right of admission reserved.
CANCELLATION POLICY:
We understand the frustration in making a payment towards accommodation under the current regulations and the uncertainty on possible travel bans on Leisure Travel.
We therefore accept that you are aware of the current regulations at the time of the reservation and that you agree to the following terms:
-Subject to the Lockdown Level and regulations specified by Government, we reserve the right to amend
our terms and conditions accordingly with the date effective as published in the Government Gazette
and applicable to all future reservations.
-In the event that Lockdown levels are amended by Government and we are unable to accommodate you
you due to the changes in the Gazetted regulations on Leisure Travel or in the event that we are unable to accommodate you due to any other unforeseen circumstances, the guest will accept that a refund will not be possible on any payment(s) made towards toe reservation and agree to the issuing of an Accommodation voucher that will be valid for 6 months from the date the restrictions or travel ban is lifted.
-Under the current regulations and travel restrictions including any future amendments which may affect the travel dates of guests or any medical reasons, the establishment agree to a date change
(subject to availability) without any cancellation or administration fees, provided the request is received no less than 48 hours prior to arrival. We reserve the right to request proof of a medical condition.
-Should you wish to request a change of date for any reason other than specified above, the following
Cancellation terms will be applicable:
*All payments received are non refundable.
*Postponement requests received less than 48 hours prior to arrival will not be accepted and your
reservation will be forfeited without a refund or voucher for future use.
*Galagos Lodge will consider the change of date but is not obligated to accept the request which will
allow for the date to be changed once (1). In the event that the booking is cancelled for the 2nd time, the
booking will cancelled and the deposit and/or any other payments made towards the booking will be
forfeited.
* If the request is accepted, a new date must be confirmed within 7 days and will be subject to availability,
alternatively a voucher will be issued valid for 3 months from the date the original booking was
cancelled.
*In the event that rates differ between the original and new reservation, guests will accept the price
increase and pay the difference accordingly.
*Deposit payments to secure a reservation including any other payments received for balance payment
or any other services are non- refundable.
-It is the responsibility of the guests to please inform us if a confirmation letter is not received. No
refunds can be claimed or will be paid to guests who claim that they have not received a confirmation letter. We will gladly resend once informed.
-Weekend reservations are subject to a minimum stay of 2 nights, unless otherwise specified in your
confirmation letter.
-Should you wish to depart prior to the confirmed departure date, the full outstanding amount will be
applicable. No refunds or discounts will be calculated.
-Guests who wish to depart early will not have the option to use any remaining nights for a future stay
-In the event of a room being reserved for 2 nights stay or more, guests who does not arrive on the 1st
day of the confirmed booking will forfeit the booking for the specific date. Under no circumstances will a refund be applicable for a “no show” and no additional night will be added or exchanged for a future reservation.
CANCELLATION OF YOUR RESERVATION BY THE ESTABLISHMENT:
We reserve the right to cancel any reservation with immediate effect without a refund of any payments prior to or on arrival for accommodation or any other services offered, under the following circumstances:
-When you violate the Health & Safety regulations.
-When you arrive with more guests then specified on the confirmation letter and paid for.
-When we find that you are accommodating other guests/visitor(s) in your room at any time during your
stay
-.When you smoke in the main house or any of the rooms
-Consume / bring alcohol onto the premises without prior arrangement and payment of the corkage fee.
-Abuse of alcohol or any other substance or behaving disorderly, becoming a nuisance to other guests.
-Discrimination and racism or any violent behavior including verbal abuse will not be tolerated against
our staff, management, or any other guests.
-Domestic violence or aggressive behavior towards any other guest, staff or management.
-Violate any other term, regulation or protocol as specified within this document
.-Guests will have no right to claim any refund for violating any of the above.
**** The above is applicable to the guest and any other person who may be sharing his/her room or any
person entering the premises to visit either party for the duration of the booking or enter the
premises without our consent and trespassing on our property.
E&OE
ARRIVAL
-Between 14H00 and 21H00
-Early arrivals l are subject to availability of the
room reserved, prior arrangement and written
confirmation by management
-Unarranged early arrival will not be
accommodated
-We respectfully REQUEST that guests who are
attending weddings, functions etc. in the area
to PLEASE arrange for an early drop off for luggage or collection of keys before 21H00.
DEPARTURE
-Strictly at 10H30
-Late departures can be arranged, subject to the
availability of the room, by prior arrangement
only and at an additional charge .
-Unarranged late departures will result in a fine
of R300 p/hour or part thereof as from 10H30.
BREAKFAST (included in all our rates)
We offer a continental Buffet with your menu selection by order. Menu available on request.
Special diet requirements must be confirmed
24 hours prior to arrival.
-Breakfast is served in our dining room between
08H00 and 09H30.
-PLEASE note that late arrivals will not be catered for.
-We will gladly assist with an early breakfast request by prior arrangement
-Room service is only available by arrangement, prior to arrival to guests with special needs and confirmed with the owner directly.
-Meal portions are standard.
-Galagos Lodge reserve the right to change the
breakfast serving without prior notice under
our Covid protocols & regulations for the safety
of our guests.
*No discount will be calculated nor will refunds
be offered in the event of guests choosing not
to have breakfast at the guest house.
*Late arrival for breakfast will unfortunately
forfeit their breakfast without refunds as the
serving time is clearly specified
